This section describes in detail the full set of steps for creating a new track in SchoolBase. It is called the Turnaround Document Method because it involves exporting data from SchoolBase into a spreadsheet document, adding your new information to this document and then re-importing it into SchoolBase. In most circumstances you will be able to miss out some of these steps. For instance, if you record a set of test results initially directly into SchoolBase, you can create a set of tracks from them without exporting the data first. Scenario

The new Year 7 pupils are being given tests in Maths and English to help teachers to place them in appropriate sets. There will be a mark and a grade for each subject. The results will be analysed for the whole year group and then added as two tracks to the pupil records.

Step 1 - Export the numbers, names and forms

  • Select Current pupils - view from your menu
  • Select 7 in Year as the search criterion
  • Click the Export Builder button
  • Create a new Custom Export record as below and export to a spreadsheet.

Step 2 - Add the results to the spreadsheet

  • Add the extra headings to the spreadsheet and then add the results giving you something like the illustration below.
  • We need to end up with a single sheet ready to import back into SchoolBase®. The top row must be the column headings; the first column should be the PupOrigNum; and the results (scores and grades) should start at column 8 (H). The first seven columns are for identification and other information that will not be imported into SchoolBase®. In this case we need to insert three blank columns after the Form column. All columns must have a heading including the blank columns but we can just put a, b and c at the top of the blank columns.

Step 3 - Import the results back into SchoolBase®

  • Open the Importer form and complete the boxes as shown here. The test set name will be used in SchoolBase® to identify the test set so use a sensible name. Use the Browse button to find your spreadsheet. The sheet (worksheet) name will be Sheet1 unless you have changed it. The cell range can be left as the default unless there is other data on the sheet which you do not want to import.
  • click the Fetch spreadsheet button and then the Check names button. This will allow you to confirm that the data is actually being imported to the correct pupils. If you have used the method described here there should not be a problem.
  • We must now click the Match subjects button and match the names on the spreadsheet to the subject names in the database. We can have two values only for each subject, one the Raw score and one the Interpreted score, i.e. the grade. For this example the entries are shown below.
  • If the matched name does not appear in the dropdown, click the Subjects button and add the subject to the list.
  • Once you have completed these two stages, click the Preparation complete - add now button. After a couple of checks the data is now imported.

Step 4 - View the results

  • We now open Tests and scores from the menu (the form is called TestHead), select the New girl tests and click the adjacent Detail button.
  • Clicking on the Scores button allows us to see the results of individual subjects. Selecting Both scores under Reporting and clicking Spreadsheet opens a spreadsheet showing the full results ordered alphabetically by pupil. We plan to extend the Export Builder facility so that you can add further fields (e.g. tutor or form) to this display.

Step 5 - Adding the Tracks

  • We add the marks and grades as two separate tracks. Let us label the first NG Marks and the second NG Grades.
  • All that remains now is to click Track now for each of the two tracks.

Step 6 - Viewing the new Tracks
We can now open the record of any pupil in year 7, click the
Tracking button and view the results for that pupil. I have here rotated the column headings so I can make the columns narrower. Columns are displayed in date order and then in label order.
