Not all lessons can be handled as part of the standard curriculum. You may also need to deal with lessons such as:

  • music lessons
  • extra tutorials
  • groups which involve pupils from more than one year
  • groups which do not fit comfortably into option blocks
  • teachers who are involved in a scheduled non-teaching activity during a particular lesson

These may or may not take place during timetabled lessons but if they do they sit on top of the base timetable and may replace the lessons in it for the staff and pupils concerned. A separate report may need to be written for pupils in these groups.

Reserving a Staff Lesson

Say you want to block out a lesson on a teacher’s timetable for a regular department meeting. This is how you would do it:

  1. Create a new exception – you can either click the Find exceptions button and then the New exception button at the bottom of the form or click the All exceptions button and then the new record button . This opens a form as shown below (blank space has been compressed).

  2. Select the teacher using the Staff dropdown and (if necessary) click the Staff timetable button to check their current allocation.
     
  3. Click the Free rooms button (if necessary) to find a room for the meeting and then select a room using the Room dropdown.
     
  4. Give the lesson an identifier e.g. Department meeting. The form will now look something like the figure below.
     
  5.  Close the form and the staff timetables will now show the newly allocated lesson.

Creating an Ad Hoc Teaching Group

Let us say we wish to extract three pupils from one of their Year 11 English lessons for some special needs support. They do not need a separate report for this. Here is how to do it:

  1. Create a new blank exception as above.
  2. Select the teacher.
  3. Click the Teaching group check box.
  4. Click the New group button.
  5. Choose the subject and name for the group.
  6. Click the Create group now button.
  7. Select the newly created group in the Group dropdown even if it appears there already.
  8. Make sure the Report needed box is not ticked.
  9. Select the required pupils.
  10. Select the period and room for this new lesson after checking if necessary for a free room.
  11. Close the form.

If you wish to add another lesson with the same group, create a new exception but select the group you have already created. There is no need to reselect the pupils.

Locating a timetable exception

To find an existing timetable exception, click on the Find exceptions button on the Exceptions section of the Basics tab of the Timetable Menu. This opens the Exceptions Search form. Use one of the dropdowns to locate the one you require or alternatively scroll down the list of exceptions until you find it. Double-clicking on a listed exception opens the relevant record. If you click the View all exceptions button all the listed exceptions will be opened and you can scroll through them.

Deleting a timetable exception

Locate the exception as above, and then either click the Delete overlay only button to remove the individual lesson or click the Delete overlay & Group button to remove the teaching group and any lessons associated with it. However, if reports have been generated the group cannot be deleted.

To delete all timetable exceptions click the
Remove all button on the Exceptions section of the Basics tab of the Timetable Menu. Read the messages and proceed with caution!
