Administration
To create a document template for use with standard letters, proceed as follows:
  1. Go to Word and open a blank document. Switch to View -> Header and Footer. Go to Page setup on the File menu (or access it from the Header and Footer toolbar) and on the Layout page tick the Different first page check box. You may also wish to increase the size of the header. (See figure below)
     
  2. Within the Header add what you wish to appear at the top of the letter. You can enter your custom headers and footers, change the font type and size and do anything that you would normally do when creating a template. However, please note that if you enter text into the body of the document this may be interfered with when data is merged into it.
       
  3. Once you are happy with your template you should save this as a .dot file (Go to File -> Save as … -> Save as Type and then select Document Template.) This should be saved in a location that every user has access to on the network.

You must now ensure that SchoolBase® knows where to look for the templates. Go to System Variables and on the Drives tab, click the browse button for the Templates Folder and navigate to the location. (If you know the full address of the folder you can type it into the field.) (See figure below)

Now you will need to register each template in SchoolBase so that it can be used for the mail merge process. Go to the Template list which can be found in Lookup forms. Find the template you want to register and give it the type Letter. (see below)
