 Once you have identified a group of pupils of whatever kind you are then in a position to create a tagged list. This is a subset of your selected pupils who can then be treated as a discrete group. The sequence for creating a tagged list is:
- Narrow the selection as much as possible using the criteria.
- On the right of Pupil Finder, select Tags.
- Create a label by typing in the top box and pressing the Create label for new tag set button
- Highlight the pupils names you want in the tag then press Add selected pupils to Tag
You can then add or remove pupils from the group as required by changing the selections, highlighting the required pupils and pressing Add selected pupils to Tag or Remove selected pupils from Tag
Here is a worked example. Let us say we wish to tag all the girls in my house (Nicholson) from two different year groups (10 and 11) who are going on trip to the National Theatre.. The idea is to send the same letter to the parents of all of them in a single run. (To create the letter see Merge letters help.) Here are the steps:
- Set the criteria for the two year groups and the house as in the first figure.
- Create a name (in this case 'National Theatre' for the new tag and click Create label for new tag set.
- Click Add selected pupils to Tag. You'll get a warning message, see illustration below.
- Select any pupils not going on the trip
- Click Remove selected pupils from Tag

Having got the tag right, you can select the same group quickly any future time you open the pupil finder by selecting 'National Theatre' from the tags dropdown on the left of the Pupil Finder, so do this when you're ready to send the letter to parents, print off the emergency contact list for the teachers who are taking the trip, etc.
Having tagged these pupils and been to the theatre, you may want to record the fact permanently on their record, possibly under Other Extra Curricular information. This is done using the Post data button on the Functions and Group Lists area of the Finder form.
Tags like the example above are only editable by their creator, and visible to all. Some people wanted to make tags private, so other staff could not , and some wanted to allow more than one person to edit a tag, so to achieve these we added Private tags and Delegates.
If you wish to make your tag private, choose the Private radio button.
If you press the Delegates button, a small form opens allowing you to make other staff members Delegates on your tag. A delegate can see a private tag and can edit the tag even if they did not create it.
