From the Current Pupil Screen (TabPupil) you have access to all information stored about a particular pupil.

There are several pages of information and you move between them by clicking on the tabs along the top of the window. A lot of additional functionality can be accessed using the buttons on the right of the window.

The buttons at the bottom of the window behave as follows:

Delete - see article Deleting a Pupil

Quit (no save) - closes this form without saving any changes you may have made.

Save and Exit - closes this form and saves any changes you may have made.

 

The General page mainly holds basic information which is required most frequently. Some fields are not used in all schools and are switched off. All current pupils should have an entry in the following fields: roll number, surname, forenames, called, house, form, year, DoB, gender, joined, tutor, boarder, member of and feeder school. Most fields are self-evident but some require a little more elaboration.

Roll no Schools differ widely in what they use here. It may simply be the same number which is used to link all related pupil information in the system or it may contained coded information such as year of joining.

Surname and Forenames The first forename is the one shown on the birth certificate. There is space under Other names for two further forenames.  

Called - The forename by which the pupil is to be known. This is the name, for instance, which a teacher would use to refer to a pupil on a report. It is not and should not be a nickname.

DoB (Date of Birth) – as with other dates it can be entered in any reasonable format but will be displayed as dd/mm/yyyy.

Cohort - Usually the year the pupil would leave the school if they stayed till the end of the Sixth Form but it is entirely up to the school how and whether this field is used. Notes - This is a free-form text field which can be used for miscellaneous information not displayed elsewhere.

Siblings - This records any siblings of this pupil whose data is held in SchoolBase®. Siblings will normally be linked to the same contact data.

Feeder School
This field shows the school the pupil attended previously. Details of Feeder Schools are maintained separately and can be accessed using the Feeder Schools or Feeder Schools Information forms. If you wish to write to the school about this pupil, clicking on the Feeder letter button will bring up a letter already headed up appropriate data. This can then be saved and edited in Word.

Nationality - this is now separate from the Country of Residence field displayed on the Miscellaneous tab.

Other Information
In this section are recorded a selection from a list of ‘features’ with an optional appended note. This facility is used mainly for facts about enrolled pupils such as whether they are a prefect or whether they are a scholar. If you wish to add the same ‘feature’ to many pupils at the same time you can tag them and post the feature and a note in a single operation. See Tagging Pupils for more information.

Add/change photo
Use this button for adding or changing a photo for an individual pupil. For importing batches of photos use the Photo Importer.
