This page mainly holds information which will be rolled forward to the main record and duplicates much of what is on the Enquiry Page.
Roll no Schools differ widely in what they use here. If the roll number can be calculated automatically then it should be possible to automate the process and link it to the Set Roll Number button. By default this will set it as the next available number.
Full time You can record here if a pupil (usually a very young one) is starting part-time. The field is set to Full time by default. Joined This records when they actually joined the school. It may well be the same as Proposed Date In but is recorded separately. Siblings If you are adding a pupil who already has a brother or sister in the school, normally you will wish to store a single set of contact data for both pupils. However, siblings may not live at the same address so it is possible to record that a pupil has a sibling in the school without synchronising contact data. You need to tread very carefully here so please read the following procedure carefully.
To record that a pupil A has a sibling, pupil B, in the school:
- Click on the drop-down in the Siblings box and select the name of pupil B
To link pupil A to the contact details of the sibling, pupil B:
- Click on the Adult links button. A message appears reminding you that pupil A’s contact details are associated exclusively with pupil A.
- Click OK. If by any chance pupil A is already linked to the details of another pupil, you will be asked if you want to leave things as they are. Only if you answer No will you be able to create a new link.
- You are now asked if you want to drop any contact details associated with pupil A and link pupil A to the adults associated with the chosen sibling. Click Yes (or No if you do not wish to proceed). A message appears telling you the process is complete.
To remove the link to a sibling:
- Click on the Remove Sibling button. The link to the sibling is removed and the contact details on pupil A’s Contacts page are now exclusive to pupil A. They can be safely amended or deleted altogether without affecting pupil B.
To unlink pupil A from the contact details associated with pupil B:
- Click on the Adult links button. A message appears warning you that pupil A is linked to contact details associated also with another pupil and asking you if you want to leave things as they are. Click No.
- You are now asked if you want to create a separate contact record for pupil A. Click Yes. (If you click No the contact details will remain linked as they were before.)
- You can now safely amend the contact details for pupil A without affecting pupil B.
Other Information In this section you can record one of a list of ‘features’ and append a note to the selection. (The list of these is created by the school using the Features List form.) This facility is used mainly for facts about enrolled pupils such as whether they are a prefect or whether they are a scholar and the information is carried forward onto the main pupil record. If you add one of these in error you can click on the delete button next to the ‘feature’.
