Turn off GENDER
If this is set to Yes then the three gender buttons at the top of the Finder form (Boys, Girls and All) and the Gender field on the pupil record are all hidden.
Use external REPORTS
Set this to Yes if you intend to import your own report designs into the system.
Use alternative PASSWORD method
If you use this, then you must supply each user with a password before they can log on. This is slightly more secure than the default method but requires more work.
Allow PUPIL EMAILER on Finder form
If this is set to Yes, a button labelled Email pupils becomes visible in the right-hand panel of the Finder form when you select the Functions tab.
Use PType SCHOOL TITLES
If you have set alternative text values for Pupil Types, they will be used on assessments if this value is set to Yes. The values are set on the Pupil Types form.
Show RELIGION
If you wish the Religion field to be visible, set this to Yes – check your Data Protection registration first.
Use alternative ENTRANCE EXAM method
This should normally be set to Yes. This allows you to customise the set of tests done by prospective pupils. See under Entrance Examinations for more information.
Open Finder to STAFF SCHOOL TYPE
If this is set to Yes, when a member of staff selects Current pupils - view only they will only see pupils listed from the part of the school to which they are attached. In this way, Prep School staff can see only Prep School pupils and Senior School staff only Senior School pupils. They can still change the criteria to extend the list if they wish.
Manage covers to STAFF SCHOOL TYPE
If this is set to Yes, staff will only be allocated to cover lessons in the part of the school to which they are attached.
Create pupil self-address when archiving
If this is set to Yes, when you archive a pupil an additional contact record is created to store the pupil's individual contact details in addition to those of the parent. Initially this will be set to the pupil's home address, but this can of course be changed as circumstances alter.
Use AVERAGE on reports
If you want the system to calculate averages on reports you need to select Mean or Median by clicking the appropriate button.
EMAIL PARENTS from Finder
If this is set to Yes, a button labelled Email parents becomes visible in the right panel of the Finder form when you click the Functions tab.
Alternative GROUP process
Normally this should be set to No unless your teaching groups are so flexible that all pupils need to be added to them manually.
Use PupOrigNum as roll no
If you are happy for your roll number to be allocated automatically by the computer, set this to Yes. However, if you wish your numbers to be consecutive or to use a code as your roll number set this to No.
Show Boarding Info
There is a BoardingInfo form which can be opened using the Boarders button on the Pupil record form and be used to record information specific to boarders. If this option is set to No, the button will not be visible.
Show MOTHER TONGUE
If this is set to No, the Language field on the Miscellaneous tab of the pupil record will not be visible.
EXPORT BUILDER - allow all
If this option is set to Yes, users will be able to see all the formats created in Export Builder and not just the ones they created. However, they can still only edit the ones they created themselves.
Shut off EXAM RESULTS
If this is set to Yes, the External Exams tab on the Pupil Record will not be visible. This is a sensible option for preparatory schools who do not do external examinations.
SMS Text use on Finder
This sets the option for how the Text Parents button appears on the Functions tab of the Finder form. You can, for example, grey it out except when the user has editing rights to pupil records.
Secure Staff records
Normally this will be set to Yes so that staff can only access their own personal record.
Use alternative LOGIN method
If this is set to Yes staff will need to type in their full user name in order to log in. The dropdown and self-completion facility for the user name are disabled. This can be combined with the alternative password setting to increase your security.
Use PERIOD REGISTRATION
If this is switched on, teachers can take a separate register in every teaching period. If you wish to pull this data through to your main registers go to the Periods tab in the Timetable Menu and tick, at most, one AM and one PM selection on the days you wish to carry out period registration.
Show FEEDER School history
If this is switched on a list of previous schools attended is displayed on the Miscellaneous tab of pupil records.
Once you have made any changes to your choices, click the Apply changes button and your system will be updated. It should not be necessary to restart SchoolBase®.
