One anxiety for any data manager is whether the level of security is sufficient to provide the correct levels of access to the data.
There is a range of features within SchoolBase® which should help to provide a high level of protection to your data.
- The passwords are encrypted - you can also switch on a feature where a password is generated as an Email (see System Variables) to a new user to save leaving them with a default password.
- The connection to the database is held encoded within the SchoolBase® front end so the data cannot be accessed separately without the system password.
- When each user logs on they only see the menu items which have been allocated to them. You can create as many tailored menus as you wish.
- Each user is allocated an access level and each form or report also has an access level. If the user’s access level is lower than the access level for the form or report then access will be denied even if the user’s menu gives access to it. (See Staff Access)
- Documents accessible from the pupil record may be marked as secure. They will then only be accessible to users who have been given access to secure documents.
- Many forms can be opened in read only format so that unauthorised users cannot change the data.
