RS Admissions is a product for managing enquiries and the admissions process. While we feel the admissions process is managed at least as well in SchoolBase, so RS Admissions would be an unnecessary expense for a SchoolBase school, we provide a process to allow RS Admissions data to be imported into SchoolBase straightforwardly. First run the export process in RS Admissions, which will create 4 files. If you need to run more than one export (e.g. if you are exporting more than one year's worth of applications) you will need to move the first set into another folder location once exported, so that the second, and subsequent exports can go into the same place without overwriting the first export. You will then need to run the import process in SchoolBase as many times as you have exports from RS.

 Firstly open the RS Importer form (if you don't have access, ask your super user to set up RSImporter form in your menu), then browse to the export files produced by RS using the 4 browse boxes. Then press 'Import base data'

Steps 2, 3 and 4 all use related forms to match data from RS to the appropriate SchoolBase fields, then step 5 actually transfers that data into your SchoolBase pupil table.

The Optional Fields button opens the RSFieldMatch form to allow you to match a number of optional fields to the most appropriate place in SchoolBase, if you wish to import them.

The Data Match button opens the RSDataMatch form where you need to match the value for certain fields in RS with valid values in the fields in SchoolBase where the data will be imported.

 The Integrity and column check button opens the RSColumnCheck form which does data integrity checks, making sure that no data is too long for the SchoolBase fields and that telephone types have been added.

Finally press the Update SchoolBase button to actually import your data. If all the preceding checks have been completed, this should go smoothly and you will find your prospects from RS in the SchoolBase prospective pupil records.
