Often it is important to get a message urgently to a group of pupils. With a manual system you might have inserted a letter into the register for the tutor to find when she opened it to take the register. You can do the exact equivalent in SchoolBase® except that you can place the note simultaneously in a number of different registers.
Use the Pupil Finder to locate the pupils that you wish to receive the message (remember that this could be a tagged list – e.g. all the pupils going on the Ski Trip). Click on the Functions tab and then on the New register note button. Now enter the message and click the Post to pupils button. A note will now appear on the register page of all registers containing your selected pupils. If it is just a single pupil, highlight the pupil in the list before clicking the New register note button. If you tick the Publish button, the register note will be included in the report which shows register notes for the current week. This can be added to user menus - the name of the report is RegNotesPublished. When the teacher registering the pupils for whom the message is intended next registers the form, the Registration Notes button will flash to indicate that there are messages waiting to be delivered. Each person for whom the message is intended is listed on the right. If all are there when you make the announcement you can click the Tick all button. If one or more pupils on the list is not present you can still click this button but then untick the absent pupils. You can then, if you wish, hid the pupils to whom the message has already been delivered. The Status column indicates whether message has been delivered or not, or only partially delivered. If you tick the Historic notes box you can see a list of messages delivered to members of this group in the recent past.
