Most schools need the ability to create small groups of pupils for specific purposes such as charges for trips, music lessons, etc., which need to be included on a particular batch of invoices. Often, the pupils to be invoiced are in no specific groups, and may be from anywhere in the school. For this situation, SchoolBase uses the ‘Tagging’ function to attach pupils to temporary group which can be used for the purpose. It is also possible to create a Recharge batch automatically from the Bus menu (see Appendix IV) Note that these ‘Recharge’ routines DO NOT CREATE A SEPARATE INVOICE BATCH, AND REQUIRE A PREVIOUSLY CREATED BATCH TO WHICH TO ATTACH THE RECHARGES. The process of adding recharge items to invoices can be summarised as:- - Create a pupil tag
- Convert it to a Finance tag (Optional)
- Create the Recharge using the Tag
- Post the recharges to the appropriate invoice batch
Recharges can also be created automatically from the SchoolBase Bus system, which makes it much simpler to record and charge for transport to and from school in one easy process. Tags can be created from the main Pupil finder window of SchoolBase, or via a special tagging menu, and therefore you will need access to one of these in order to set up the Tags. Once created, optionally, they can be flagged as ‘Finance Tags’ via the Finance Menu which means that other staff will not be able to change the pupils in the tagged group. If you have been given access to the Pupil Finder or the tagging menu, you can create your own tags. An alternative is to agree that all tags are created in the first instance by the school’s admin or teaching staff, and that you then use them ‘as is’, or convert them to finance tags when appropriate. This would work, for example, where a member of the teaching staff creates a tag for a sports trip so they can manage the enrolment of pupils onto the trip and print lists to manage the administration, and then the bursary staff access the same tagged group to carry out the billing of the charges which are to be made to the pupil’s parents.
