Often you may wish to make the same change to a number of selected pupil records. Alternatively you may wish to enter data into the same field or fields on multiple records. The Multi edit button on the Finder form gives you access to this function. You can change up to three fields simultaneously for your selected records or edit particular fields without having to open each pupil record in turn.
As a example, let’s say we want to perform a double task on all the pupils in 7A. Firstly, they are no longer new pupils so we want to clear the New checkbox for all of them. Secondly, their form tutor, Susan Devlin, has gone on maternity leave and is being replaced temporarily by Vera Rouliot. Here is how we would do it:
- Use the Finder form to select the 15 pupils in 7A.
- Click the Multi edit button. This displays the form as shown in the first illustration below.
- Select New marker in the dropdown for Column 1 and Tutor in the dropdown for Column 2.
- Tick the two Copy columns checkboxes at the bottom of the form.
- Enter False in the first column for the first pupil and select Vera Rouliot in the second column. You could now make changes to the other records in the same way but as they are all the same, that is not necessary. The form should now look like the second illustration.
- Click the Copy to all from selected row & columns button. The task is complete!
