Photographs of both staff and pupils can be automatically imported into SchoolBase®. The facility for doing this is on the second tab of the Divers form. The photos for importation must be held in a single folder and each photo must have as its filename either the Roll number or the PupOrigNum. To import the photographs:

  1. Click on the Browse to photo folder button, browse to the folder containing the photos and click OK.
  2. Select either Roll number or PupOrigNum in the dropdown labelled Photos named as.
  3. Click the Add photos now button.

If you wish to import an individual photograph:

  1. Select the pupil from the dropdown labelled Find this pupil. The name of the pupil should appear below the arrow buttons as above.
  2. Click on the Get image button and select the photo you wish to import – after short delay the message Image selected will appear.
  3. Point to the space where the photo is shown in the illustration above, click the right mouse button and select Paste. That completes the process.

The process is almost identical for staff photographs. You should use either the mnemonic or the User Id as the file name.

A Copy-to-clipboard facility is now available for pupil photos, even in read-only mode, so staff can now use pupil photos in their own documents. If the right-click menu is not available on your set-up, try copying using CTRL-C or the copy button on our Add-in FBS menu. You may find Office’s multiple clipboard items useful here for transferring a group of photos straight into Word.

For information, the size of the pupil photos displayed in SchoolBase is 93 by 116 pixels, which is 2.407 cm wide by 3.095 cm tall. To be imported into SchoolBase photographs have to be no larger than 20KB in size.
