Here in summary are the methods of recording and processing data for tracking: A list of pupils including at least their Pupil Origin Numbers (PupOrigNum) and names is exported from SchoolBase® into a Spreadsheet using Export Builder. Staff add results to the spreadsheet. The data is collated and then reimported into SchoolBase®. A summary sheet is produced. Each pupils results are added to their tracks.
Method 2 - Transforming Data from Third Parties A set of standardised results or predictions such as MidYIS or CATS are downloaded from the processing body as a spreadsheet. After a little editing the data is imported directly into SchoolBase® as a set of tests. The data is then added to the pupils' tracks. MidYIS CATS Yellis NFER Alis Method 3 - External Examination Results Exam results are downloaded from the examination boards in the usual way and imported into SchoolBase®. These results are exported into a spreadsheet and reimported as a test set as described in Method 1.
Method 4 - Tracking Internal Assessments A set of assessments is created and staff enter data directly into SchoolBase®. These are used in the usual way to produce end of term or interim reports. Summary spreadsheets are produced. For each subject, one or more assessment grades or scores are added to pupil tracks. A single track may represent, for example, the achievement grades across all subjects for that assessment.
Method 5 - Tracking Test Results A test set is defined within SchoolBase® (independent of the assessment system). Teachers enter their results directly into SchoolBase®. Summary spreadsheets are produced. Either one or two tracks are produced for each pupil (e.g. a mark and a grade) showing their results across the whole test set.
For each of these methods there is a web page showing a worked example. For most of them you will need the PupOrigNum (each pupil's unique record number) to be added to Custom Columns if it is not already there. (Your Data Manager will know how to do this.) You will also need to ask for the Importer form to be added to your menu. (It would seem sensible to call this Test importer on your menu.)
