The left section of the form is used to set the criteria for selecting the pupils which appear in the central section. Note that you can clear any selection box by clicking on the minus sign to the left of the box. Most buttons also have a Not tick box next to them. This allows you to select all pupils who do not match a particular criterion.

Clear Filters
Clicking this button clears all criteria boxes except School on all five tabs. You can tell if one or more criteria have been set on a tab because a * will appear against the tab label.
Gender
Click on one of the three radio buttons at the top to select pupils of one or both sexes.
Names like
If you know for example that the pupils name is Daniel but you are not sure if it is the forename or surname you can type the first few letters of this name into the Names like box and all the names containing those letters will appear in the list of matching records.
School
If you open the form to view current pupils this box will contain by default a list of the constituent parts of the school. To change this list you can clear the box and then use the dropdown to select one or more different sections of the school or to select prospective or archived pupils.

Most selection fields have double-headed dropdown arrow to the right of the box. This allows you to choose one or more values from a list. In this example we are choosing pupils from years 2, 4 and 6. Clicking the
Clear button removes the selection. Clicking All selects all values.

Clicking OK confirms the selection and in this example the Year box will now display the following:
 

Tags
If you want to select children by a criterion not listed here, you could tag each of the records you require so that they can be retrieved as a group. This option allows you to select a particular group of tagged pupils or, alternatively, by clicking the
not checkbox to select all the ones not belonging to a particular tagged group. See under Tagging for more information.

The lower part of the form has six separate tabs labelled Prosp. (prospective pupils), School (current pupils), Archive (former pupils), Personal, Acad. and Others. Each allows the setting of selection criteria relevant to that group of pupils or to that topic. Criteria can be chosen from more than one tab. Where a criterion has been selected from a tab a star appears against the label.


Many of the criteria are self-evident so only those that are not are documented here.

Prospective

Proposed Date in
This allows you to select pupils applying to enter on a particular date or between a range of dates. You can either enter a single date or, as in the figure above, two dates.

Dates may be entered here and elsewhere in almost any intelligible form. For example, 1 September 2007 may be entered as: 1/9/07, 1/9/2007, 01/09/07, 01/09/2007, 1 sep 07, Sep 1 07, 1 Sept 07 or even just as 1/9 if 2007 is the current year - and that far from exhausts the possibilities. However, it will always be displayed here as 01/09/2007. The only thing you cant do is to enter 1st September. If you enter a date in the American format, e.g. 9/11, it will be interpreted in the English way if that is a valid date but otherwise in the American way. So 11/20 will come out as 20/11/2007.

Added since

Lets say for example that you produce a mail merge letter to all those who have requested a bursary. Ten days later you want to see if you have missed anyone who has been added in the last few days. Set the first value here to the date you sent the letter and the second to the current date. All those added since then will be listed.

Into Year
Here you enter the year which the prospective pupils will be joining, not the year
when they will be joining. So if you want to see all those entered for the Prep School and you the Prep School entry year is called 3, that is what you select. Schools may determine for themselves what to call each year and the drop-down for this box will list in order all the names used by your school.
Stage
As prospective pupils progress towards entry they usually move through several well-defined stages from the Initial Enquiry right through to Enrolment. Here you can select from a drop-down to list all pupils recorded as being at a particular stage or stages.
Feeder
You can use this to find pupils from a particular feeder school or schools. Recently added is the ability to select those with no feeder school recorded.

School

Bus Routes
If you use the Bus Menu, you can search for pupils on a particular route using the Bus Routes criterion on the School tab.

Archive

Cohort
If you are using the cohort field, you can select all members of a given cohort. The cohort field, which is on the General tab of the Pupil record, can be used to indicate pupils who moved through the school together, although they may have left or joined at different times. This can be useful when arranging reunions.
Last form, Last house, Last tutor, Last year

These are all text searches, and will remain so , as the data is entered as text to allow you to change the names of your forms etc without messing up the past pupil records.

Personal

Post Code
Type a post code or the start of a post code and the right-hand list will reduce to children with matching addresses. It is not updated as you type like the Names like box. You must press Enter after typing in the post code.
Sib in School
Whichever group of pupils you are looking at, selecting the Yes button here will reduce the list to those who have siblings among the current pupils.

Academic

These fields work with the Pupil tracker and Tracker analysis function buttons. See under Pupil Finder 6. Functions

Others

Rewards and Sanctions
The criteria above the dividing line are related to rewards and sanctions. You can choose to show one or the other, select by type, refine the date when the reward or sanction was awarded or when any follow-up action (e.g. a detention) was done, and select by the person awarding the reward or sanction. In this way you could check, for example, how a particular member of staff was making use of the system.
Extra curricular
This is similar to the previous Other info selection on the School tab. Each pupil has an Extra Curricular tab on their record where facts under categories such as sport (membership of teams/achievements), music (membership of performing groups/certificates obtained) or other activities (Duke of Edinburgh award/voluntary work) can be recorded. Again the categories and the items to be recorded are selected by the school. Selecting one of these items as a criterion enables you to find all pupils about whom this particular fact has been recorded, e.g. all members of the 1st Eleven Cricket team. You can restrict the list of items to a single category by using the
Filter. You can also use the Set between dates to refine the search to activities started during a particular range of dates.

Shadow

Use the fields on the Shadow tab to search by one or more of the 5 shadow fields.
