Reports on Extra-Curricular Activities
It is useful to be able to record in the pastoral slots on reports whether a pupil has taken part in some musical, sporting or other activity. Either the name of the activity (e.g. 1st X1 Hockey) is simply appended to the pastoral report or appending it acts as a reminder to the tutor to include mention of it in the report. This feature is added using the Report Posting button on the Assessment Menu.
When an extra-curricular activity is recorded on a pupil’s record, there is a date associated with it. By setting a range of dates on this form, you can ensure that only current activities are added to the report. Normally the range would represent the dates of the current term. Where there is more than one activity they are separated by commas on the report.
The form allows for the maximum number of pastoral reports but most schools will have fewer than this. If, for example, the tutor report is the first pastoral report and you wish to add the extra-curricular activities to this, you would select the first pastoral slot. You may of course want to use a separate slot only for extra-curricular activities.
So, in summary, to add extra-curricular activities you should do the following:
- select Report Posting from the Assessment Menu
- select a range of dates (normally those of the current term)
- select which type of Extra-Curricular Activity to append
- select which pastoral slot to add the data to
- select the assessment set to be updated
- click on the Update now button
Posting sanction and reward counts to reports
On this same form you can post information about sanctions and rewards, provided you are using the Rewards and Sanctions section of the pupil record. The presumption is that you have ticked that you want some statistics when setting up the report set. As standard there are up to six statistics though individual schools may have more. On the Report Posting form, select the report, the date range to be counted, the sanction or reward in question and the slot to post it into and finally click the Update now button. If you want to count several things, just change the type and the slot.
Averages for Pastoral Statistics
Pastoral statistics refers to such items as number of absences and number of house points. If your report has been designed to accept it, you can calculate an average value (e.g. average number of house points) over all the pupils in this assessment set. You must specify which slot you are averaging and which slot you want the average to appear in. If you are not sure you should refer back to the design of the assessment.
