Each candidate needs a four-digit internal candidate number. You should not have two candidates with the same number in the school at the same time but numbers can be re-used once the candidates have left the school. One possible solution is to start at a round number for each year group. This can assist in identifying to which year group a candidate belongs. It also makes sense to number the candidates following their alphabetic sequence. Since candidates may join the school at various times you can leave gaps for inserting later entries by changing the step from its default value of 1.  So you should enter a starting number in the box labelled Number from and a step (if required) in the box labelled with steps of. Any starting number must be equal to or greater than the First available number.

The candidate’s UCI (Unique Candidate Identifier) is calculated automatically based on the candidate’s personal data. It
is a 13 character long identifier and consists of the centre number, a year reference number, the candidate number and an alphabetical check digit. The UCI enables the awarding bodies to match the current exam entries with previous entries in unitised qualifications. A candidate’s UCI must not change once it has been allocated. When a candidate joins from another centre it is essential to note their original UCI which can be found on their GCE and GCSE statements of entry or results slips, or by contacting their previous centre. If a candidate changes centres, and has not previously been entered for modular or unitised examinations, they will not have a UCI and it will be necessary for one to be allocated by the new centre.

The pupil’s UPN (Unique Pupil Number) is a unique 13-character identifier allocated to each candidate in England on first entry to school. It was introduced to maintained schools in 1999/2000 to facilitate the tracking of candidates’ progress through the school system. A UPN consists of a check letter, the LEA code, the DfES number of the school, the academic year when the UPN is allocated and a serial number allocated by the school, for example Q85560129999. This is not the same as the UCI number. It is now increasingly being used by independent schools. At present its use is optional.

First select the centre number. If you have a single centre number you have no need to select this as the system will default to the first it finds. However, if you have multiple centres you need to ensure you select the centre number matching the group you plan on numbering.

To number the candidates:

  • Select the year you want to sort out
  • Select a starting point for candidate numbers
  • click the Auto number button
  • click the Set UCI button. If candidates already have a UCI this needs to be entered manually.

There are no automated processes for the UPN and it is not currently compulsory to include it in examination entries.

Please note you do not need to auto number. You can select any starting point and drive it from there. You can have leading zeros if desired.

The final column allows you to specify extra time for particular candidates expressed as a percentage of the overall time for the examination. This is displayed on the individual timetables for these candidates.
