There are two different sets Entrance Exam procedures in SchoolBase ®. Which appears in your system depends on the relevant system setting which can be changed on your system using the System Variables form. The original system is less flexible since it only allows 5 scores: English, Maths, NVR (a text field), Reading and Writing. The more recent set of procedures is referred to as the alternative system.

Administration of the tests begins with this form where each row represents a discrete set of tests. To add a new set, scroll to a blank line and enter the following information:

  • Title - what you are going to call the exam set, e.g. Year 7 Entry 2008
  • Entry date - this corresponds to the Proposed date in field on the Enquiry tab of the Prospective Pupil record
  • Into - the year of the school which they will be joining - this corresponds to the Into year field on the  Enquiry tab of the Prospective Pupil record

The next step is to create entrance exam records for the prospective pupils who match these criteria. To do this, simply click the Assign button. A message confirms that this has been done. You should not repeat this unless you are happy to start this exam set from scratch.

You may also wish to include existing pupils in the exam set. In this case you might want to include the Year 6 pupils from your Prep School. To do this select the relevant year from the dropdown and click the Add current year button. If you want to treat boys and girls as separate exam sets, then in this case you would create two sets, pushing the boys radio button for the first set and the girls button for the second.

You can now close the form or continue by pressing the Groups button or the Add scores button. Both open the list of candidates (EntranceExamList) but only the second button opens it in a form where you can enter the results.
