Data Integrity

The buttons on this page each carry out a task which should improve the quality of your data. Some of them are there as one-offs to solve a particular problem and may no longer be needed.

Their effect is as follows: (some items have a separate web page)

Show pupils with no roll number
This button opens the records of all pupils who do not have a roll number. If this is missing it affects the output of some reports. If you are allocating roll numbers automatically you may want to check this before using one of the other roll number related buttons.
Add default Roll no throughout
This puts in a roll number for every current pupil who does not have one, making it the same as the PupOrigNum. This is different from the other roll number related button which does this for all pupils whether they have a roll number already or not.
Strip trailing spaces from addresses
It is all to easy to add extra spaces or line feeds to addresses. This will remove them all.
Sort siblings
This removes any siblings misallocated during the data transfer process.
Check multi look elements
This sorts out problems associated with criteria selection.
Clean up feeder schools
Clean up GP list
De-duplicate Ac Recs
This will remove duplicate entries from any pupil’s curriculum.
Default staff report name
This sets the default staff report name where it was not completed for some reason.
Set all pupil names where empty
This sets the various versions of the pupil names on the Miscellaneous tab to their default values where they have not been completed. For new records this should happen automatically.
Column changes to exam options
This sorts out some problems with external examinations.
Sort Stages of Prospect
Like similar tools for feeder schools and doctors, this allows you to move all pupils at a particular stage to a differently named stage and then remove the stage from the database. If you want to move a batch of pupils to the next stage you should use Multi Edit.
Batch update empty cohort
This will complete the Cohort field for any pupil where the field is blank. It sets it to the year that the pupil would leave the school in the normal course of events as indicated by the Expected leaving age on the Setting page of the System Variables form.
Email information
Move National Health Number to correct field
This was used where schools had been storing NHS numbers in one of the miscellaneous fields. There is now a dedicated field for this datum.
Remove 2007 June A level results
This was a one-off which was required to solve a problem with these particular results.
Default prospect joining year
This sets all current prospective pupils joining year to the default for their age.
Set all roll numbers = PupOrigNum
This sets all roll numbers to be the same as the PupOrigNum whether there is one there already or not.
