Once a pupil is added to the database, information begins to accumulate about them and deleting all of this becomes a somewhat complex task. There is also the question of whether personal information should be permanently deleted in case the record needs to be reinstated at some point or a data audit trail is required. For this reason, when you 'delete' a pupil record (whatever their current status) the record is marked as Deleted by changing its Pupil Type. The record is then excluded from all searches and lists but can be reinstated by changing its pupil type to an active status.

Deleting a pupil

  1. Find the record using the Pupil Finder in the normal way. 
  2. Click the Delete button at the bottom of the pupil's record.
  3. Respond appropriately to the two warning messages - you need to read them carefully.
  4. The record will now not appear when you next open the Pupil Finder.

Reinstating a pupil

  1. Open the Pupil Finder using Current Pupils - edit (or your local equivalent). Clearly you must have write access.
  2. Under Search Criteria select Deleted in the School multi-combo box.
  3. The pupil you wish to reinstate should now be in the list of pupils. Double-click the name to open the record.
  4. On the General tab click the Change button as shown here. Confirm that you want to make a change.
  5. Select the part of the school or status which you wish the pupil to have.
  6. Click the Save and exit button.
