There are three main functions for this form: - renaming merge fields to make merge letters and labels easier to use
- deciding which merge fields are available for staff to use
- allocating a sort order so that frequently used items can appear at the top of the list.
The top area of the form allows you to select the type of letter or label for which your fields are available, and who the fields are about. The 'Who' area changes depending on the 'what' you have selected, e.g. when you select Feeder letters, only feeder school information is available.
The lower part has a line for each available field for the letter/label. The tick box Show allows you to decide which fields are available to use. This defaults to ticked, allowing staff to see all fields, but if the number of fields available is too confusing, untick those items you do not need. The system name is the name used for the field internally in SchoolBase, and will be seen by Merge Letters/Labels users unless a different User display name is set up. Set a user display name to make merge letters more understandable, e.g. you may wish to use 'Head Salutation' instead of 'Fe_HeadSal'. The sort order defaults to 99, so there is plenty of space for you to put favourite items ahead of the bulk of fields. Fields with the same sort number will be displayed alphabetically.
