Data can be collected from a variety of sources. The start is a good spreadsheet and to ensure you have the right data to re-import ensure you always use the PupOrigNum when using the Export Builder.

Use Custom Columns to add PupOrigNum if it is not already one of your standard export types.

Use the Finder to identify the pupils you are testing and use the Export Builder to extract your information. Remember you can export such information as date of birth, age at a given point in time, etc. These are useful when looking at reading ages and the like.

In any spreadsheet you produce, be it direct fromSchoolBase® or from a third party, always ensure that the PupOrigNum is in column A. It does not matter what it is called but this unique identifying number needs to be stored here. This will make the import process much faster for you when the system is trying to match your import to the names it holds.
