If your school uses the Bus menu options to create and manage bus routes and the pupils who travel on them, it is possible to create a Recharge batch directly from this part of SchoolBase without the need to set up Tag groups as is usually the case with recharges.

Once all the routes have been created, prices added and pupils added to the routes as necessary, select the Billing option from the Bus Menu.

Bus Billing form

From the Select Term drop-down, select the term to be billed.

You can create a recharge with one line per pupil, using Create recharge button, or you can create a more detailed recharge, with several lines per pupil detailing the journeys they are doing. To use this version, first select the term to be billed, then in the row below check that the number by each weekday correctly describes how many of that day are in the term, e.g. it may be a 10 week term, but if there is a bank holiday, there will only be 9 Mondays, then press Day billing recharge.

You will get a message saying All done, and to view your new recharges go to Recharges from the Finance Menu.

Returning to the Finance Menu, Recharges button, you will see that a new batch has been added to the end of the existing ones.

The charges brought into the batch will be those which reflect the route allocations in the Bus system. If, for example, individual pupils need to have their charges adjusted (perhaps because of illness or extra journeys) this can be done by amending the entries in the batch. Similarly, you can delete any entries which are not to be billed or add additional pupil charges manually at the bottom of the list.

It is not necessary to add anything to the top section of the recharges window except, of course, to select the appropriate invoice batch when the time comes to post the charges.
