With the best will in the world, mistakes (or more likely omissions) can occur in the setting up of an assessment set. On the Changes, Add/Remove Group and Clear unwated reports tabs of the Assessment Menu you can make the following corrections:

Moving a Pupil to a Different Group

  • Select the current Assessment Set
  • Select the Pupil
  • Select the group the pupil is to be moved from
  • Select the group the pupil is to be moved to (the list will be limited to other options in this curriculum strand)
  • click the Rebuild now button

Changing the Teacher Writing the Reports

  • Select the current Assessment Set
  • Select the Group
  • Select the teacher currently assigned to the group (there may be more than one)
  • Select the replacement teacher
  • click the Reassign now button

 
Changing the Tutor Writing the Pastoral Reports
 
This may be for an individual pupil or for the whole tutor group. For an individual pupil:
  • Select the current Assessment Set
  • Select the Old tutor
  • Select the New tutor
  • Select the Pupil
  • click the Change tutor by pupil button
The system will now ask you if you want to change the pupil record to show the new tutor. You will not want to do this if, for instance, the tutor is temporarily absent and is unable to write the reports.
 
For the whole tutor group:
  • Select the current Assessment Set
  • Select the Old tutor
  • Select the New tutor
  • click the Swap tutors button
Again you are asked if you want to make a permanent change - if you answer Yes, the system will launch the Divers form.

Creating a Pupil’s Reports

  • Select the current Assessment Set
  • Select the Pupil
  • click the Add pupil now button

NB If this is done for a pupil who already has reports for this assessment set, these will all be wiped.

Clearing unwanted grades

This process removes grades and scores where there should not actually be any because the Assessment definition does not require them. Simply click the Clear unwanted grades button.

Removing Blank Reports

This process removes reports which are not required so they do not appear on the final printout. This may be because a pupil has dropped a subject, or not attended sufficient lessons to justify a report. It may also be because more than one teacher teaches the group but only one is required to write a report.
For a single pupil

  • Select the current Assessment Set
  • Select the Pupil
  • click the for selected pupil button

For the whole assessment set

  • Select the current Assessment Set
  • click the Clear blank reports button

For a tagged group

  • Select the current Assessment Set
  • Select the tagged group
  • click the Keep Tag set, Clear unwanted reports button (you will have to accept some stern admonitions before it will let you do it!)

Adding a Missing Group

This could be used, for example, where a teaching group has been created after the assessment set has been set up. If the group still needs adding to the curriculum, you need to use the Timetable Menu. Instructions for this can be found in the Timetabler Manual under Making Changes. However, it can if necessary be used to add a group to an assessment set which under normal circumstances would not form part of it, e.g. a group from a different year.



  • Select the Add/Remove Group tab on the Assessment Menu
  • Select the current Assessment Set
  • Select the group you wish to add to the Assessment Set from the list of all available groups.
  • Click the button labelled Step 1 – Add complete group
  • Select the same group again which should now appear in the list of groups for the current Assessment Set.
  • Click the button labelled Step 2 – Check groups
  • Make sure that the required reporting slots are specified for this group and then close the form.
  • Click the button labelled Step 3 – Add pupils

Removing an Unwanted Group

Having created a report set you discover you have created reports for a group which does not need reports, a private study group for example.

  • Select the Add/Remove Group tab on the Assessment Menu
  • Select the current Assessment Set
  • Select the Group
  • Click the button labelled Clear assessment group
You can also remove a group from a single pupil who, for example, has dropped that subject since the assessment was created.
  • Select the Add/Remove Group tab on the Assessment Menu
  • Select the current Assessment Set
  • Select the Group
  • Select the Pupil
  • Click the button labelled Clear assessment group for this pupil
