To add a prospective pupil you need to click on the Add new pupil button on the Finder form. This opens a new form as shown below.
Please note that if the Finder form is entered in read only mode then the user will not see the Add new pupil button.
Before you enter any information, you may want to check to see if the pupil has already been created. To do this use the drop-down in the Are they already in the system? box entering a few letters of the surname first to save time. By default this will search all present and prospective pupils but you can limit the search to prospective pupils only by choosing the other option. Once you are sure you are adding a new prospect, all you must add is their surname and forename. If no given name is entered then this will be set to the same value as their forename.
Please note: Names are not auto-capitalised – there were just too many exceptions – so this remains your responsibility.
You can also add this new record straight into the current school by changing the value in the Add to box. This is of course by default Prospective as this is by far the most common route for adding a pupil to the database.
Once you have entered the name you can click one of four buttons.
Add another creates a new record using this name and clears the form ready to add another pupil. In this way you can quickly create several new records. Go direct to this record creates a new record using this name and opens the record for editing. If you then click the Save and exit button the AddProspect form will still be open ready to add a further record. Save and exit creates a new record using this name and returns you to the Finder form Quit returns you to the Finder form without creating a new record
If there is another record in the database with the same surname and forename, you will be warned and asked if you want to create another pupil record using the same name. You can then choose whether to or not.
