The Activity Menu is the starting point for managing real time activities in SchoolBase. Edit Types takes you to the Staff Category Types form, where you can define which categories are included. Information takes you to a form where you can set up which teachers teach which subjects for your chosen activity type. Groups takes you to a form where you can set up and report on activity groups. The whole ‘real time management’ function is set up and controlled in a menu option called ‘Activity Management’ which can be attached to an appropriate staff menu. This person should be regarded as the overall manager, rather than the specific activity manager.
Activity groups can be set up which will simply run (and also appear on real-time timetables) until they are removed. This would be appropriate for termly-based activities where there is little change in group composition and where a weekly record of the groups is not required. Alternatively, a weekly management function can be invoked, which will allow for the marking of weekly registers and if necessary the weekly rotation of individual pupils’ lesson times (as required for example in the case of musical instrument lessons where it is not desirable for pupils to miss the same timetabled lesson every week.
Activity groups can be used to create ‘Recharge Batches’ for use in FeeMaster (the associated finance billing system). This can either be on the basis of termly-based activities (in which case the amount charged is added manually to the recharge batch), or the weekly rotational groups (in which case the charge is calculated on the basis of the number of sessions attended by each pupil).
It is also possible to link activities to the Registers in SchoolBaseOnline so that form tutors can see the activities of their pupils for each day and can amend them if necessary. So, for example, if the school allows parents the flexibility to ‘book in’ for after-school care, evening meals, overnight accommodation, etc., this can be do during the registration period and activities managers will be able to review the numbers booked in. Maximum numbers can be set for activity groups to prevent over-booking.
